How to Respond to Leads in Under 5 Minutes (Without Hiring Anyone)

3. Offer times, not promises

The goal of the first five minutes isn't to close the sale — it's to get something on the calendar. "I can do Tuesday at 2 or Wednesday morning — either work?" beats "we'll be in touch" every single time. A booking link works too, as long as it's one tap away.

4. Call when a call is warranted

For urgent or big-ticket leads, a real phone call inside the window is worth the interruption. If they don't pick up, the text goes out immediately: "Just tried you — I'm around until 6 if you want to talk it through."

5. Don't stop at one attempt

Most leads don't answer the first touch. That's normal, not rejection. A simple cadence — same day, next day, day three, day seven — recovers a surprising share of the quiet ones. Every message stays short, and the sequence stops the moment they reply. Then speed applies all over again.

What this looks like when it runs

Say a lead comes in at 7:42 on a Tuesday night. At 7:43 they get a text with their name in it and one question. They answer at 7:51. Their question about service area gets answered, two times get offered, and by 7:58 there's an appointment on your calendar for Thursday — confirmation and reminder already scheduled. You find out about it over coffee the next morning.

That's the standard. Hold any system to it — human or software.
