What to Look for in an AI Answering Service (An Owner's Checklist)

The market for AI phone and answering tools has exploded, and they are not all the same. Some are glorified voicemail. Some sound robotic and frustrate your customers. And some actually answer, help, and book — the way a great front-desk person would. Here's how to tell them apart before you commit.

The checklist

Run any option through these questions:

1. Can it actually book, not just take a message?

Taking a message is table stakes. The value is in turning a caller into a scheduled appointment on your calendar. If it can't book, it's only half a solution.

2. Does it connect to the tools you already use?

Your calendar, your CRM, your phone system. If it lives in a silo and makes you copy information over by hand, it's creating work, not removing it.

3. Does it cover after-hours and overflow?

The whole point is catching what you currently miss — nights, weekends, and the calls that come in while you're already on the line. Confirm it covers those, not just business hours.

4. Does it hand off to a human cleanly?

Good systems know their limits. When a call needs a real person — an upset customer, a complex job — it should route to you smoothly, not trap the caller in a loop.

5. Does it sound natural?

Customers can tell when they're stuck with a clunky bot, and it reflects on your business. Test it yourself before you trust it with real callers.

6. How fast can it go live, and who sets it up?

Some tools hand you a login and wish you luck. Others build and run it for you. Be honest about whether you have time to configure software — or whether you want it done for you.

7. What's the real pricing model?

Watch for big upfront setup fees before you've seen results, and per-minute pricing that spikes on a busy line. The best-aligned model ties what you pay to what you get.
